Tenant Office Free Plan Terms
Version 1.0 · Effective
Tetrahedron LLC · 3343 Peachtree Rd NE, Ste 145-2732, Atlanta, GA 30326, United States · support@tenantoffice.com
Version: 1.0; effective date: October 6, 2026.
These terms apply to an organization using Tenant Office on the Free plan. They are between Tetrahedron LLC ("Tenant Office") and that organization, and words defined in the Terms of Service mean the same here. They add to the Tenant Office Terms of Service at https://tenantoffice.com/terms, which also apply. Where the two differ about the Free plan, these terms govern; on everything else, the Terms of Service governs.
1. What the Free plan is
The Free plan has no subscription fee. It includes every Tenant Office module, for every property type the organization confirms, with unlimited staff seats, companies, bank accounts, residents and vendors. It has no time limit. It is not a trial.
2. Allowances
An organization on the Free plan may have up to 100 active units and 3 outside owners.
- Active unit: a unit on a property that is not archived. Vacant units, and units on notice, in turn or offline, count.
- Outside owner: an owner of a property the organization manages to whom the organization has released an owner statement or posted a distribution, and anyone it has sent an owner portal invitation. An owner stops counting once it no longer owns a property the organization manages that is not archived, unless an owner portal invitation to it is still pending, sent or accepted. An owner that is the organization itself or one of its affiliates does not count while an administrator's attestation of that relationship is in place, except that an owner portal invitation always counts. A distribution is never refused because of an allowance.
- Affiliate: a business that controls, is controlled by, or is under common control with the organization's business.
The Free plan also includes 5 GB of stored documents (each file is limited to 10 MB, and each image a resident uploads to 4 MB), 2,000 transactional emails a month, and 4 resident announcements a month. A month is a calendar month in the organization's business time zone. The Free plan does not send text messages.
- Documents: a photo added to a work order counts toward storage but is never refused because of the storage allowance.
- Email: payment emails (receipts, and failed, returned or refunded payments), plan notices, staff, resident and owner portal invitations, entry notices and notices of emergency work at an owner's property are always sent, and count toward the allowance. Once the month's allowance is used, other service emails are not sent for the rest of that month, and the organization's administrators are told. Verification codes sent to rental applicants do not count, but are limited to 100 a day in the organization's business time zone. Staff and portal invitations are limited to 50 in any 24 hours and one to the same address in any hour.
Tenant Office refuses an action that would take the organization past an allowance and says which allowance it is. An administrator can move to the Manager plan in Billing to go further.
3. No charge, no card, no automatic conversion
Tenant Office does not charge for the Free plan and does not ask for a payment card for it. The Free plan never turns into a paid plan by itself. An organization moves to the Manager plan, Tenant Office's paid subscription under the Subscription Agreement, only when an administrator subscribes in Billing after the organization's owner has accepted the Subscription Agreement. The Manager plan can be cancelled in the billing portal as easily as it was started, and when it ends the organization is on the Free plan again. For an organization that returns to the Free plan, this replaces the Subscription Agreement's statements that access ends and that deletion follows after its export window.
4. Free stays free
For an organization already on the Free plan, Tenant Office will not start charging for the Free plan and will not reduce the allowances in section 2. Tenant Office may increase them. These promises hold for as long as the organization stays on the Free plan, subject to the Terms of Service and to sections 6, 7 and 10. The allowances offered to organizations that join the Free plan later may differ.
5. Above the allowance
An organization can hold more than the Free allowance, for example after its Manager plan ends. Nothing is deleted. Tenant Office emails the organization's administrators written notice of what is over the allowance, and a reminder in the week before anything pauses. Nothing pauses during the notice period. 30 days after that notice, if the organization is still over and has not moved to Manager, these activities pause until it is back within the allowance or on Manager (a pause lifts within a day of that): adding units, imports, statement releases and portal invitations to outside owners beyond the allowance, and month close. Statements and portal invitations keep working for the outside owners counted first, up to the allowance.
Rent and other payments, work orders and exports never pause. Undoing an import and reopening a month never pause.
6. One Free plan per business
A business and its affiliates may hold one Free organization between them, and the person who signs up confirms this. To notice a business divided across several Free organizations, Tenant Office records keyed hashes of staff email addresses, of staff email domains that are not consumer mailbox providers, and of owner payout bank routing and account numbers, for Free organizations only, and compares them across Free organizations. The comparison uses only the keyed hashes, never the values themselves, and a match never blocks anything by itself: a person at Tenant Office reviews it before acting. If a business holds more than one Free organization, Tenant Office may ask it to keep one and move the others to the Manager plan or close them. Not doing so within 30 days of being asked is a material breach of these terms.
7. Dormant organizations
If no active staff member of a Free organization signs in for 18 months (opening the workspace on a device that stayed signed in is not a new sign-in), counted from no earlier than the day its current Free plan began, Tenant Office may email its administrators a notice. If nobody signs in during the 60 days after that notice, Tenant Office may archive the organization: it prepares an export of the organization's records, which its administrators can request again at any time, and may limit the workspace to retrieving exports. A sign-in by any active staff member before then stops the archive. Archiving deletes nothing. Tenant Office will not delete an archived organization's records without first giving its administrators at least 60 days' notice by email, and deletion then follows the procedure in the Terms of Service.
8. Support
Free organizations get the Tenant Office help center at https://app.tenantoffice.com/help and support cases opened with Tenant Office in the workspace. A case about money in motion (a rent payment, refund, deposit or owner payout) is marked urgent on every plan. These terms make no response-time commitment.
9. Online rent payments
If Tenant Office enables online rent payment processing for a Free organization, the section headed "Online rent payment processing" of the Subscription Agreement, in the version published at https://tenantoffice.com/legal/subscription-agreement on the effective date of these terms, applies to it as if written here, except its statements about an order and about Tenant Office adding no markup. Payments run on the organization's own Stripe connected account, the organization is the merchant of record, it first accepts Stripe's Connected Account Agreement and completes Stripe's verification, and Tenant Office never holds resident funds. For a Free organization, a Tenant Office platform fee may apply to each payment. The organization's payment settings show that fee, with Stripe's estimated processing fee, before the fees are saved. Where that section and this one differ, this section governs.
10. Ending the Free plan
An organization may move to the Manager plan in Billing at any time, or ask support@tenantoffice.com to close it. Tenant Office may end an organization's Free plan only for a material breach the organization has not fixed within 30 days of written notice of it, including under section 6, or by archiving it under section 7. Tenant Office may also suspend access in the circumstances the Terms of Service describe. Tenant Office may stop offering the Free plan to all Free organizations by giving at least 90 days' notice by email; each organization may then move to the Manager plan or obtain its export as described below. If Tenant Office stops providing the Tenant Office service to all customers, it will first give Free organizations at least 90 days' notice by email.
When an organization's Free plan ends without a move to Manager, its administrators can obtain a point-in-time export of its records at no charge for 90 days afterwards: in the workspace while they still have access, or by writing to support@tenantoffice.com. Ending the Free plan does not by itself delete anything; deletion follows the procedure in the Terms of Service.
11. Changes
Tenant Office may update these terms by publishing a new version, which the organization's owner accepts in the workspace. A new version does not take effect for an organization until its owner accepts it, and cannot remove section 3 or section 4 for an organization already on the Free plan.
